Position Summary:
In accordance with the Visit Anchorage mission, this position works under the direct supervision of the Controller to record, compute, and verify numerical data and assist the Controller in general office duties in order to develop and maintain accurate financial records.
Essential Job Functions:
- Assist at Reception (open and close office, visitors, pickups and deliveries, incoming phone calls)
- Process incoming and outgoing mail
- Take payments from a variety of sources (i.e. phone, email, fax, ACH)
- Receive and posts all checks, cash and credit cards, daily;
- Complete biweekly/monthly Visitor Information Center (VIC) cash drawer reconciliation
- Generate and mail A/R invoices and statements
- Maintain A/R files and file all posting reports
- Support Membership staff in accessing and updating data in the accounting database
- Updates Membership database with “paid through” dates
- Assist with registration for Monthly Membership Luncheons and other events
- Provide VIC Event Support (i.e. booth support, staffing, and supply monitoring)
- Researches, computes and records accounts payable transactions to include verification of proper approvals, account coding, correct vendor, correct date, correct invoice numbering and other elements of data entry as necessary to produce timely and accurate records
- File payables and manage accounting’s central and digital filing system
- Answer questions from customers and staff relevant to A/R and A/P transactions
- Provide administrative and accounting assistance to Controller
- Model the Visit Anchorage Core Values in the performance of all job functions
- Perform other related duties as assigned
Essential Knowledge, Skills, and Experience:
- Associates degree in a business/management field or equivalent office experience preferred but not required
- Attention to detail and accuracy is essential
- Advanced computer skills with a major emphasis on cloud file management including working knowledge of Windows, Microsoft Office, Adobe, and Simple View information management software (or similar)
- Excellent communication skills to effectively answer questions, increase efficiency, and reinforce Visit Anchorage’s Core Values when interacting with all staff, vendors, and clients
- Demonstrated effective time management skills, organizational skills, self-motivation, flexibility, and ability to manage multiple projects
- Work requires the ability to read, write, collate, sort, staple and file
- Advanced written communication skills to compose, edit, and proofread business correspondence and reports
- Proven flexibility in managing multiple projects and demonstrated effective time management skills
- Working knowledge of, and ability to perform basic troubleshooting for, standard office equipment including, fax machines, phones, copier, and scanners
- Ability to type 45 wpm
- Ability to sort and index files for input, ability to sit at a computer, and vision acuity to read VDT and reports
- Analytical ability necessary to exercise sound judgment, handle complex tasks with minimal supervision, and anticipate the needs of others
- Assist with physical loading and unloading of large coolers, boxes, or equipment up to 50 pounds
- Valid Alaska Driver’s License
