Part Time Accounting Specialist - Visit Anchorage

Position Summary:

In accordance with the Visit Anchorage mission, the Part Time Accounting Specialist (PTAS herein) works under the supervision of the Controller for a variety of accounting functions.

The position is part-time; meaning employment will be for 20 - 32 hours per week between our core hours of operation 8 a.m. to 5 p.m. The hours of employment will be negotiated between the PTAS and the Controller. Hours of employment are not expected to change frequently although the flexibility to accommodate the Employer’s needs should be anticipated.

Essential Job Functions:

  • Prepare daily bank deposits including data entry into the accounts receivable accounting module. This will include reconciling payments received to invoices and preparing invoices when an existing invoice does not exist. Data entry will include the correct information such as vendor name, vendor ID, General Ledger account number(s), invoice date, payment date and other information as may be needed.
  • Produce invoices frequently for advertising sales and other member participation revenues
  • Produce invoices two months in advance for Membership Dues
  • Research questions from customers, members, and staff relevant to A/R transactions
  • Prepare reports regarding accounts receivable as required periodically or as needed
  • Assist in retrieving documentation as needed for the Audit and then filing the documentation later
  • Prepare and process amounts already paid via wire transfer and other bank transactions
  • Provide administrative and accounting assistance to Controller, duties may include but not limited to:
    • Posting transfers between bank accounts
    • Allocating credit card fees on a monthly basis
  • Assume the duties of the Full-Time Accounting Specialist when that position is vacant or absent, duties may include but are not limited to:
    • Research, compute and record accounts payable transactions to include verification of proper  approvals, account coding, correct vendor, correct date, correct invoice numbering and other elements of data entry as necessary to produce a timely and accurate records
    • Perform periodic posting of approved accounts payable batches
    • Process and print checks and EFT remittances
    • Maintain vendor files to include Form W-9 and proper vendor classification in Great Plains
    • File payables and manages accounting’s central filing system
  • Valid Alaska Drivers’ License with an acceptable driving record as courier duties may be expected on occasion
  • Other duties as assigned

Essential Knowledge, Skills, and Experience:

  • Attention to detail is essential
  • Accounting education is preferred
  • Accounting experience is preferred, especially with Great Plains Dynamics
  • A working knowledge of the Microsoft Office Suite is essential
  • Working knowledge of computerized accounting and the ability to operate a ten-key and general office equipment
  • Excellent communication skills to effectively answer questions, increase efficiency, and reinforce Visit Anchorage’s Core Values when interacting with all staff, vendors, and members
  • Ability to exercises sound judgment using analytical abilities, manage multiple projects and anticipates needs of others using strong organizational skills
  • Work requires the ability to read, write, collate, sort, staple, and file
  • Advanced written communication skills to compose, edit, and proofread business correspondence and reports
  • An aptitude for accounting, including confidentiality, and an attitude for positive customer service
  • Ability to manage multiple projects and execute effective time management skills

These worker characteristics are normally acquired through post-secondary education, exposure to office procedures, and on-the-job training, including experience in accounts receivable, accounts payable, and working with computers.
